Administrative Coordinator

Delta Waterfowl is The Duck Hunters Organization, a leading conservation group founded in 1911. We work to produce ducks through intensive management programs and conservation of breeding duck habitat. Delta’s international headquarters is located in Bismarck, North Dakota. Currently, our dedicated team consists of almost 100 employees, of which about half work within our headquarters office and the other half work remotely throughout the U.S. and Canada. Our organization has experienced tremendous growth over the last few years and this is expected to continue. JOB SUMMARY
This position serves as our office’s primary receptionist for all general calls, emails and in-person visitors, as well as performs a variety of general office support responsibilities. Responsible for the timely coordination, processing, and completion of assigned mailings and other communication projects.
ESSENTIAL FUNCTIONS
1. Answers telephone in a friendly manner, gives information to callers, takes messages, or transfers call to appropriate individuals
2. Greets visitors, handles their inquiries, and directs them to the appropriate staff
3. Processes daily mail and deposits
4. Coordinates and completes various mailings and communication projects as assigned
5. Prepares and sends meeting notifications and information
6. Manages multiple general inbox emails
7. Processes store orders and maintain inventory records
8. Operates a variety of office machines (i.e., copier machine, postage machine)
9. Primary liaison for maintenance needs
10. General administrative duties as needed
11. Other duties as assigned
REQUIRED QUALIFICATIONS

1. High school diploma or equivalent, and at least three years of related professional experience
2. Excellent interpersonal skills
3. Knowledge of clerical office practices and procedures, record keeping practices, word processing, spreadsheet, database, and presentation software
4. Prior experience editing and proofing documents
5. High degree of accuracy, timeliness in execution of data processing, and discretion of information
6. Ability to perform assigned responsibilities with minimal supervision
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to communicate verbally and nonverbally. The position duties require dexterity in using telephone, computer keyboard, mouse, calculator and other office equipment. The employee is regularly required to sit, stand, walk, and navigate stairs. The employee must be able to lift and move up to 30 pounds. Vision abilities required by this job include close vision, depth perception and ability to adjust focus. Generally, this position will work in a standard office environment though there will be periodic times spent outdoors in the seasonal and environmental elements as the employee is performing job duties.
